Detof Connect privacy policy

1. Who we are

Detof Connect is operated by Detof GmbH, Rennweg 57, 8001 Zürich, Switzerland (UID CHE-265.755.429). This policy explains how we handle data when a business connects its QuickBooks Online company to Detof Connect.

2. Who the app is for

The app is offered only to clients who have a services agreement with Detof. It lets Detof accountants work directly in the client's QuickBooks Online company to deliver the services in that agreement.

3. What data we access

You connect the app through Intuit's own sign in page. Depending on the permissions you grant the app can read and write the following data in your QuickBooks company.

• Company details such as name, address and fiscal year settings
• Chart of accounts, journal entries and transactions
• Invoices, bills, payments, credit notes and deposits
• Customer, vendor and employee records held in QuickBooks
• Financial reports such as profit and loss and balance sheet

We also hold the access tokens Intuit issues when you connect. We record the name and email address of the person who connected the app. We never see your Intuit password or any bank or card login.

4. How we use it

We use the data only to deliver the services in your agreement with Detof. That covers recording and correcting transactions, reconciling accounts, preparing reports and answering your questions about your books. We do not sell your data. We do not use it for advertising. We do not use it to train AI models.

5. Our role

For the accounting data in your QuickBooks company Detof acts as a processor on your instructions. You remain the controller of that data. For the name and email address of the people who connect the app Detof is the controller.

6. Legal basis

We process data to perform our contract with you. We also rely on our legitimate interest in running the service securely. This applies under the Swiss Federal Act on Data Protection and where relevant the EU and UK GDPR.

7. Service providers

We use a small number of providers to run the app. Each is bound by confidentiality and data protection terms.

• Intuit Inc. provides QuickBooks Online and the sign in service.
• Anthropic PBC provides the AI model our accountants use to work with your data. Anthropic processes it under its commercial terms and does not train its models on it.
• Google Cloud runs the app server in the DACH region.

8. International transfers

Data may be processed in the United States by Intuit and Anthropic and in the DACH region by Google Cloud. Where a country lacks adequate protection under Swiss or EU law we use standard contractual clauses or an equivalent safeguard.

9. How we protect it

• Tokens are encrypted at rest with AES-256 and only the app server can read them.
• All traffic is encrypted in transit with TLS.
• Only Detof staff working on your account can use the connection.
• We do not keep a copy of your QuickBooks data on our servers. Data is fetched when needed and is not stored after the request ends.

10. How long we keep it

• Tokens are deleted as soon as you disconnect the app or your services agreement ends.
• Logs of actions taken in your QuickBooks company are kept for 12 months.
• Working papers we prepare for you are kept as long as the law and your services agreement require.

11. Disconnecting

You can disconnect at any time in QuickBooks under Apps or by emailing us. Once you disconnect we revoke and delete the tokens. The app then has no further access to your company.

12. Your rights

You can ask us to access, correct or delete personal data we hold about you. You can also object to processing or ask for a copy of your data. Write to support@detof.com. You may also complain to the Swiss Federal Data Protection and Information Commissioner or to your local authority in the EU or UK.

13. Changes

We post any update on this page and change the date at the top. For material changes we email connected clients first.
